• Parent/guardian information

We automatically collect information about how you use our service:

Our service is not intended for children under 13 years of age. We do not knowingly collect personal information from children under 13. If you are a parent or guardian and believe your child has provided us with personal information, please contact us.

11. Google Workspace API — Limited Use Disclosure

TuitionDesk integrates with the Google Calendar API to create and manage class schedule events on behalf of teachers and parents, and with the Google userinfo endpoint solely to display which Google account is connected. We do not access Gmail, Google Contacts, Google Drive, or any other Google Workspace product.

The use of data received from Google Workspace APIs (including Google Calendar and Google userinfo) adheres to Google's User Data Policy, including the Limited Use requirements. Google user data is used solely to create and manage calendar events on behalf of users and to display the connected account email. No Google user data — raw, aggregated, or derived — is transferred to, or processed by, any third-party AI or machine learning service.

Google OAuth tokens are stored encrypted at rest and used exclusively to authenticate Calendar API requests. Parent and teacher email addresses included as calendar event attendees are transmitted directly to Google Calendar and are never shared with any other third party.

12. Artificial Intelligence Features

TuitionDesk offers AI-powered features to help centre owners, teachers, and staff work more efficiently. These include a help assistant, attendance analytics, homework suggestions, and assessment question generation.

12.1 What data AI features use

AI features operate exclusively on data you have directly provided to TuitionDesk — such as student records, attendance logs, fee information, and class schedules stored in your account. They do not access, read, or process any data sourced from Google Workspace APIs.

The level of detail sent to AI providers varies by feature:

• Aggregated statistics only — features such as the owner daily briefing and fee intelligence send only counts, totals, and percentages (e.g. "12 students overdue, ₹8,400 pending"). No individual names, emails, or identifiers are included.
• Internal reference IDs (UUIDs) only — features such as fee reminder previews send only internal fee record identifiers. No student names, emails, or phone numbers are included.
• Class and subject names — productivity tools such as homework suggestions and assessment question generation send class names and subject names. No student or parent personal information is included.
• Anonymised tokens for risk analysis — dropout prediction, student risk scoring, and teacher analytics identify students using one-way pseudonymous tokens (e.g. stu_a3f8b2) derived from internal record IDs. Real student names are substituted back into AI-generated responses only after the response is received, inside our servers. No student name, email address, phone number, or parent contact detail is transmitted to any AI service.

In all cases, student email addresses, phone numbers, parent contact details, and Google Workspace data are never transmitted to any AI service.

12.2 Third-party AI service providers

To power AI features, TuitionDesk sends relevant portions of your account data to the following third-party AI providers:

• OpenAI — used for help chat, homework suggestions, assessment question generation, and the public marketing assistant. Data sent is limited to the context needed to answer each query (e.g., a question you type, a class name, or a subject). We use the pay-as-you-go API tier.
• AWS Bedrock (Anthropic Claude models via Amazon Web Services) — used for analytics chat and the agentic advisor. Anthropic models are accessed exclusively through AWS infrastructure; data is never sent directly to Anthropic. Under AWS Bedrock's standard terms, Amazon does not use customer inputs or outputs to train foundation models.

12.3 AI data handling

We do not use your data to train, fine-tune, or improve any AI model. Queries sent to AI providers are processed transiently to generate a response and are subject to each provider's data retention and usage policies. We recommend reviewing OpenAI's and AWS's privacy documentation for details on how they handle API data.
